## Key takeaways

* [Ringg Workflows](https://www.ringg.ai/dashboard/workflows) brings agents, tools, and business logic into one visual canvas, so teams can automate complete customer journeys instead of isolated conversations.
* Workflows can trigger calls, retrieve and update data, take actions across connected apps, and branch based on outcomes, without stitching together multiple systems.
* The shift is from AI agents that simply converse to agents that get work done, completing multi-step workflows across voice, chat, WhatsApp, browser, and your existing tools.

## Customer journeys rarely finish in one call

Most voice AI products are designed around a single conversation. A call starts, the agent completes its task, and the call ends.

A customer may need time to upload a document, complete a payment, confirm an appointment, choose another delivery slot, or provide missing information. A prospect may need another conversation after an initial qualification call. A patient may need a reminder after the scheduling system updates an appointment.

The organization may also need to check another system before deciding what to do next. A different AI agent may be better suited to the next conversation. A sensitive, unusual, or unresolved case may need to move to a person.

When these steps are handled as separate tasks, context gets scattered across call logs, spreadsheets, CRMs, and internal messages. Teams spend time reconstructing what happened and deciding what should happen next.

Ringg Workflows gives teams one place to define the complete journey.

| **A single-call automation** | **A Ringg workflow** |
| --- | --- |
| Ends when the conversation ends | Continues across conversations, actions, decisions, and time |
| Treats every interaction as a separate task | Carries relevant context into later steps |
| Leaves follow-up decisions to the operations team | Uses conditions to choose the next path |
| Shows the result of one call | Shows progress toward the final operational outcome |
| Handles exceptions informally | Routes exceptions through a defined path or to a person |

## What is Ringg Workflows?

Ringg Workflows is a visual AI workflow builder for connecting conversations with the operational steps around them.

A workflow can:

* Start a call or chat with a selected Ringg AI agent.
* Pass customer or constituent information into the conversation.
* Save information collected during one step for use later.
* Fetch or update data through an API, CRM, or another business system.
* Select a different path based on a response, status, variable, or analysis result.
* Pause until a duration, time, or event.
* Start another conversation with the same agent or a different one.
* Send a case to a person when human review or support is required.

This turns the conversation into one coordinated step within a larger process.

## Four building blocks for complete AI voice agent workflows

Every Ringg workflow is created from four main blocks.

### 1\. Agent

The Agent block starts a call or chat with a selected Ringg AI agent. Teams can pass information into the agent, choose the caller number, set calling hours, and configure retry rules.

A workflow can use more than one agent. For example, one agent can help a customer complete KYC, while another guides the customer through their first purchase after KYC is complete. One agent can also qualify a lead, while another schedules a product demonstration after the lead meets the required criteria.

### 2\. Action

The Action block connects the workflow with an API, CRM, or another business system. It can retrieve the latest status before a conversation or send information collected during the conversation back to the relevant system.

For example, an Action block can check whether a payment was completed, retrieve an appointment status, or update a confirmed delivery window. The available connection and authentication options should be confirmed for each deployment.

### 3\. Conditional

The Conditional block chooses the next path. A condition can use a tool response, stored variable, or analysis result from an earlier conversation.

A delivery workflow might start a recovery call only when the latest status is not\_delivered. A collections workflow might send a payment reminder only when an invoice remains overdue. Each path is explicit, visible, and testable.

### 4\. Await

The Await block pauses the workflow for a duration, until a specific time, or until an event occurs.

Teams can wait before checking an external status, contacting someone again, or continuing to the next stage. This is useful when a person needs time to take an action and an immediate follow-up would be unnecessary or intrusive.

## Ringg Workflows use cases across customer journeys

Ringg Workflows is useful when an outcome depends on more than one conversation or system action. Teams can combine agents, APIs, conditions, waits, and human handoffs in one reusable workflow.

Common use cases include customer onboarding, lead follow-up, appointment management, delivery recovery, payment collection, and post-service feedback.

### Customer onboarding and activation

An AI agent can welcome a new customer, confirm setup progress, capture missing details, and save them to the CRM. The workflow can wait, check whether onboarding was completed, and follow up only when another step is required.

### Lead qualification and sales follow-up

A workflow can confirm a prospect's needs, timeline, budget, and preferred next step. It can update the CRM, route qualified leads, wait for a response, and schedule another conversation.

### Appointment confirmation and rescheduling

A workflow can confirm an upcoming appointment, capture rescheduling preferences, update the booking system, and follow up before the new scheduled time.

### Delivery confirmation and recovery

An AI agent can confirm delivery status and collect a preferred new window, while conditions route failed deliveries or exceptions to the right path. The workflow can pause until the order status changes, then continue.

### Feedback collection and service recovery

After a service interaction, a workflow can collect structured feedback, record the response, and schedule a human follow-up when a customer reports a problem or asks for help.

## How to build and launch a workflow in Ringg

### Step 1: Define the final outcome

Start with the result, not the first call. Give the workflow a name that makes the outcome clear, such as KYC Completion and First Purchase, COD Delivery Availability and Reschedule, or Customer Onboarding and Activation

### Step 2: Add the first interaction

Add an Agent block and choose the agent that should begin the journey. Select whether the agent should call or chat, map the required variables, choose the caller number, set the calling window, and configure retry rules.

![Choose from Agent, Action, Conditional, and Await blocks](https://images.prismic.io/ringg-ai/O5YWc9ijJrazPLlJ_Step-2.png?auto=format%2Ccompress&fit=max&w=3840)

Choose from Agent, Action, Conditional, and Await blocks

### Step 3: Add actions, conditions, and waits

Drag the required blocks onto the canvas and connect them in the order in which they should run.

For example, a KYC workflow can start with an onboarding call, wait before checking the customer's status, and then use an Action block to retrieve the latest KYC information.

![Start with an Agent block, pause with an Await block, and use an Action block to retrieve the latest customer status](https://images.prismic.io/ringg-ai/AA53Q0eXAlBQe4kM_Step-3.png?auto=format%2Ccompress&fit=max&w=3840)

Start with an Agent block, pause with an Await block, and use an Action block to retrieve the latest customer status

### Step 4: Create a path for each important outcome

Add a Conditional block after a conversation or business action. Select the information to check and define the value that counts as a match.

Build the successful path, but also define what happens when data is missing, an action fails, the person does not respond, or the case requires human judgment.

![Use conditions to choose the next step from live delivery status and the outcome of the recovery call](https://images.prismic.io/ringg-ai/fEzKHb8x7uafDQ9D_Step-4.png?auto=format%2Ccompress&fit=max&w=3840)

Use conditions to choose the next step from live delivery status and the outcome of the recovery call

### Step 5: Add and map workflow variables

Create the variables the workflow needs, such as a person's name, phone number, order ID, appointment time, preferred language, program name, or current case status. Map each variable into the blocks that use it.

Information collected in one part of the workflow can then be used later. A confirmed appointment time can be sent to a booking system. A preferred delivery window can be sent to an order system. A customer's selected plan can determine which onboarding agent contacts them next.

### Step 6: Test the complete workflow

Select Test and provide the required starting variables. Check that the expected blocks run, every condition selects the correct path, and each action receives the required information.

Test the main path and every meaningful exception path before using the workflow with a live audience.

### Step 7: Publish and monitor

Select Publish when the tested version is ready. Monitor individual runs to see the current step, completed steps, waiting reasons, and conversation outcomes.

### Step 8: Make the workflow live through a campaign

Publishing prepares the workflow for use. To launch it for an audience, open Campaigns and create a campaign. Select Workflow as the campaign type, choose the workflow, add the audience and calling schedule, review the setup, and go live.

## Build journeys that continue after the call

Voice AI becomes more useful when it can participate in the complete operational journey. The conversation may be the most visible step, but the result depends on what happens before it, after it, and when the expected path changes.

Ringg Workflows connects AI agents, decisions, waits, and business actions in one visual journey. Teams can carry context forward, control important choices, test exception paths, and monitor progress toward the outcome that matters.

That outcome may be an activated customer, completed payment, confirmed appointment, qualified lead, resolved support issue, renewed account, or recovered delivery.
